YouTube sponsor tracker template

You agreed a deal in a DM three months ago and you cannot remember what you owe them.

What is inside

One row per deal. The brand and the person you are actually talking to, the date you agreed it, and what you promised, picked from a dropdown that covers a 60 second integration, a dedicated video, a Short, a description link or a community post. Then the money: the fee, the currency, and the two terms that get agreed in a DM and matter a year later. Those are the usage rights the brand has bought and any exclusivity window you signed up to.

The right-hand end of the row is the chase. A due date, tick boxes for delivered, invoice sent and paid, and a grey column that counts the days an invoice has been outstanding once you have sent it. Anything past thirty days turns red on its own. Three figures sit pinned at the top of the sheet and move as you type: booked this year, awaiting payment, and how many invoices are overdue.

There is a second tab called Rate card. You put in a format, the views it usually gets and a CPM you have decided on, and it works out a suggested fee so you have a number ready when a brand asks.

How to use it

  1. Open the link below and take your own copy, with File then Make a copy. The original stays untouched and your copy is yours to change.
  2. Read the Example tab, which has three deals filled in. The Deals tab next to it is empty and is the one you type into.
  3. Add a row when a deal is agreed, then tick delivered, invoice sent and paid as each of those happens. The grey columns and the figures at the top look after themselves.

If you are working out what to charge

The part a spreadsheet cannot do

Every figure in here is only as current as the last time you typed into it. The tracker knows nothing about the video the deal belongs to, nothing about what that video cost you to make, and it will never remind you that an invoice is old.
